In this role, you will:

• Support Budget Management: Help control, plan, and forecast the Legal Division’s budget, while monitoring and reporting on resources.
• Maintain Capacity Tools: Update capacity tools, compare actual vs. budgeted data using VLOOKUP, create graphs, and manage data storage in SharePoint.
• Optimize Data and Reporting: Improve data feeds and reporting tools for efficiency.
• Manage Oracle PA & Chargebacks: Handle the Legal Pricing Model, chargeback reports, and contractual updates, assign resources to Oracle PA codes, and upload data accurately.
• Control Costs: Create and manage PRs/POs, resolve invoice discrepancies with Finance and external counsel, monitor expenses, and address aging POs in Oracle E-Business.
  • Coordinate OC & ALSP Processes:Track and update outsourced files, POs, and invoices.
  • Maintain OC and ALSP panel details.
  • Train newcomers on OC policies and processes.
  • Work with Finance and HR to set up external resources in Euroclear systems.
• Reporting Support: Collect information and prepare management reports on performance and optimization opportunities.
• Back-Up PA Support: Assist Heads of Legal and General Counsel with diary management, expenses, and travel arrangements as needed.
• Meeting Coordination: Provide administrative support for Legal Management and other key meetings, including scheduling, preparing materials, taking minutes, and following up on actions.
• Event Organization: Support the setup of complex meetings involving management or external parties, ensuring documents are shared in advance.

In this role, you will need to:

• Be fluent in English and French or Dutch.
• Have strong expertise in MS Office Suite and the O365 environment.
• Excel in data analysis, including pivot tables.
• Use Oracle Suite and Power BI effectively.
• Analyze and interpret financial data with accuracy.
• Work with SharePoint, manage projects, and analyze costs (a plus).
• Adapt to or learn change management practices.
• You have a background in: Economic sciences, data management or any background where you worked with figures and data!
