Support the Workplace Design (scope: HO/TC) by:
o Gathering baseline information from other departments (P&I, Health & Safety) on
Head Count changes i.v.o. required sanitary, parking, air volumes, evacuation, etc.
o Drafting proposals and designs for the Workplace in line with the conceptual
workplace principles and identify opportunities for space optimisation
o Selecting & advising on materials and colours in line with the Visual Guidelines
o Making visualisations and presentations ensuring stakeholder buy-in
o Providing drawings for special purposes (evacuation plans, cleaning programs, etc.)
▪ Organize and co-ordinate Moves and Fit-Outs by:
o Doing the Project management (planning/cost/quality/customer first) of fit-outs and
moves
o Handling requests in line with the applicable procedures
o Drafting master schedules for smaller interior fit-out projects and moves
o Aligning with internal and external stakeholders (internal customer, moving company,
contractors, etc.)
▪ Manage the Desk Booking Tool by:
o Handling ad-hoc questions from users
o Making modifications in the tool: blocking desks, make layout changes,
o Handling ad-hoc issues and escalations with the software company and internal
stakeholders
o Communicating to the users (alert/info cards, etc.)
o Maintaining and upgrading the desk booking tool workbook
o Following-up release notes
▪ Manage & upgrade the Meeting and Storage Room Inventory by:
o Keeping the storage/meeting room inventory up to date
o Executing regular audits of the ownership and condition
o Handling storage/meeting room requests and automating the request process
▪ Manage & follow up of Furniture by:
o Advising on furniture phase-out/phase-in plans, based on age/condition/ergonomic
requirements, feeding into the investment planning
o Keeping the furniture inventory stock up to date
o Managing the furniture disposal process (focus: circular economy)
o Drafting a clear policy for furniture requests
o Handling furniture requests
o Co-ordinating the furniture repair
▪ For all of the above responsibilities support with:
o Documenting standard procedures
o Creating reporting (project progress, space visualisation, room conditions, etc.)
o Budget control for moves and furniture – within defined maximum yearly budgets, log
and manage expenditure related to moves and furniture adjustments/repairs/renewal
o Provide as-built drawings i.l.w. the drawing standard
