- General secretarial duties and administrative tasks, including telephone coverage, mail/document control and distribution, filing and organisation of meetings.
- Preparation of business trips and follow-up with expense reports.
- Update the intranet site for the Brussels Office.
- Support and assist in the accurate preparation, finalisation and circulation of letters, notes, reports and presentations.
- Contribute to the work of the colleagues in charge of the Public Affairs programme of the Brussels Office.
- Financial management of the Brussels Office.
- Assist in the screening of all incoming e-mails to the Brussels Office, ensuring that messages are directed to the responsible person.
- Ensure quality control of documents before they are submitted for approval/signature by the hierarchy.
- Ensure that filing system is kept up to date by carrying out all filing tasks, both electronically and on paper, regularly and consistently.
- Ensure the supply of office materials and equipment.
- Replace other assistants of the Brussels Office when absent, when appropriate.
